Church Administrative Assistant Job Description

Ministry Purpose: To welcome all guests and members to the church office as well as coordinate facilities to carry out the ministries of the church.

Qualifications:

  • High School degree or equivalent
  • Organization skills to manage the building schedules and the office
  • Excellent communication skills
  • Computer skills with proficiency in documentation generation and compilation
  • Willingness to submit to background check and completion of forms required for child/youth protection policy
  • Mandatory background check every 2 years

Responsibilities:

  • Record Keeping for the Church
    • Birth, death, membership status, and marriage certificates
    • Church Directory with names, addresses, and email for membership
    • Group activity and committee rosters
    • Weekly worship attendance
  • Scheduling
    • Coordinate office volunteers
    • Order office supplies
    • Maintain and coordinate building usage, including scheduling, deliveries and maintenance
  • Communication
    • Compilation and distribution of weekly worship bulletin (electronic and paper) and inserts
    • Annual Church Conference material compilation
    • Update onsite signage (excluding electronic sign)
    • Answer the phone and greet and assist visitors
    • Staff support and other duties as assigned
  • Outreach
    • Membership milestones (birthdays and anniversaries)
    • Food pantry distribution
    • Update weekly prayer list
    • Administration of Good Sam Program
  • Technology
    • Software: Microsoft Office, Canva, SimpleChurch CRM
    • Hardware: Printers, folder, phones

Work Hours and Schedule:

Monday through Thursday: 8:30 a.m.- 4:30 p.m.
Hours: 32
Months/ year: 12

Supervision: Reports to the Staff Parish Relations Committee for overall supervision and Senior Pastor for daily supervision.

Compensation:

  • Reviewed annually
  • Vacation of 10 days after 1 year. Vacation days are to be arranged and taken with the consent of the Senior Pastor. If a holiday falls during a vacation period, the holiday shall not be counted as a vacation day. Paid Holidays (when applicable): The employee shall be granted the following holidays with pay: New Year’s Day, Martin Luther King Jr. Day, the Monday following Easter, Memorial Day, July Fourth, Labor Day, Thanksgiving, and the Friday thereafter, and Christmas. If a holiday falls on a weekend, the day before or after as determined by the Lead Pastor is considered a paid holiday.
